TOURNAMENT FORMAT

Our goal is to make sure this event is an ALOHA EXPERIENCE. We want you to have a good amount of play, and be able to schedule your days to enjoy everything that the Island of Hawaii has to offer. As such, we are running a combination of Amateur Round Robin and Open / Pro Double Elimination formats.

Amateur events will be Round Robin format. Events with 8 or fewer teams will play round robin and use tie breakers within the round robin to determine Gold, Silver, and Bronze finishers. If there are 9 or more teams in a bracket, we will break the bracket into two pools with playoffs of the top two teams in each pool. The teams winning their pools will play for Gold/Silver and the 2nd place teams in each pools will play for Bronze.

Our goal is for brackets or pools of 4 teams will play best 2 out of 3 games to 11, win by 2. Round robin brackets or pools with 5 or 6 teams will play single games to 15, win by 2. Brackets or pools with 7 or 8 teams will play single games to 11, win by 2. Playoff games for Medals will be best two out of three to 11, win by 2.

If an event has less than 4 teams, that event may be combined with a same skill bracket that has an adjacent age group.

Pro and Senior Pro will be Double Elimination.. The Open Pro and Senior Open Pro events are eligible to players rated 4.0 and above. These events will run with a traditional double elimination format, with a team able to come back around to the gold medal match via the loser's bracket. These matches will be played best 2 out of 3 to 11 win by 2 in the winner's bracket and single games to 15 win by 2 in the loser's bracket. The bronze and gold medal matches will be best 2 out of 3 to 11, win by 2. True Pros (with a 5.0 rating) have priority for these Open Brackets. Amateurs are welcome to sign-up for this bracket so long as both partners have a minimum of a 4.0 rating on one of the major ratings platforms (WPR, UTPR, DUPR). The Tournament Director reserves the right to remove any teams that do not meet this requirement and place them on the wait list and/or work with them to get them properly placed in other brackets.

Note on format and schedule changes:

The Tournament Director reserves the right to change format and schedule based on participation, weather conditions, schedule disruptions, etc. with the goal of treating every player as fairly as we can.

We are purposely building into the schedule a weather make-up day for Sunday January 28th.

Sunday January 28th additional information:

If we are fortunate and don't end up needing to run brackets on Sunday, that day will be converted to a series of fun open play, skills challenges, special age split events, etc. benefiting the Family Support Hawai'i charity on our beautiful Island of Hawaii. Expect more details on this as we get closer to the event date.

Note on Registration Fees and Holua Facility Access:

Your Registration fee includes passes for play during Holua's open play sessions January 15-31, 2023. Players please Click HERE for the latest open play programming. Players are required to check in with the Holua Pickleball welcome table or pro shop (at the courts) daily if you are playing. Non tournament players are also welcome, just pay the $10 drop-in fee.

Open play will be limited on Monday January 22 and Tuesday January 23 to accommodate the clinics being run by Hawaii Open and Pickleball Experience. Those clinics will run 8am - 11am, and 3pm to 6pm. Some of the courts may be used by the clinics and unavailable to open play. You can register for these clinics via our tournament registration process.

Payment/Partner Policy

Players must have paid and have a registered and paid partner to be confirmed. Registered and paid players that do not have a registered and paid partner(s) will be moved to a wait list if the division in which a spot is being held is filled with fully registered and paid teams.

Partner Replacement Policy

After registration is closed, any registered player losing a partner must replace that partner with an already registered player. The replacement partner must be in the same skill/age group that you are scheduled to play. Players can play down in age and up in skill. Replacements need to be known and communicated to the registration contact by 6pm the day before you are scheduled to play. Replacements can be found on the players needing partners list.

Pickleball Experience Clinics:

US Open Pickleball Championship Gold & Silver Medalists Kyle Yates, Brian Ashworth, and Peter Hudachko and their team at the Pickleball Experience will conduct a series of clinics. These are some of the best and most experienced instructors in the industry, and we will have them here at Holua! The instructor ratio is 8:1 or better. 10% of the proceeds of the camps are being donated to Family Support Hawai'ito benefit the families of Hawaii. You can sign-up via the tournament registration process.

Each session costs $125. You can attend any one session, or push yourself and sign up for all four!

Policy On What You Can Bring Into The Venue

Players may not show up with pop-up canopies without advanced permission. Spots for canopies will be limited. Chairs can be brought, but they ARE NOT ALLOWED ON ANY TENNIS OR PICKLEBALL COURTS. Coolers are permitted, and water / hydration bottles are encouraged. Outside alcohol is prohibited.

Behavior Policy

In the spirit of Aloha, we want EVERYONE to have a great time, and NOBODY should feel threatened or put upon. Tournament staff, facilities staff, volunteers, and safety officers will help make sure everyone is safe. The Hawaii Open Pickleball Championship reserves the right to refuse service to anyone it feels is not abiding by the Aloha Spirit guidelines which includes respect for everyone else at the event and proper sportsmanship. Players, guests, spectators, sponsors, staff, or volunteers who in the opinion of the Hawaii Open Pickleball Championships pose a threat to safety, participant happiness, or fair play will be asked to leave the venue. This includes argumentative behavior, violation of another person's personal space, any form of harassment, or any display of public intoxication.

Refund Policy

Cancellation Policy

January 10, 2024 is our cancellation deadline. No refunds after this date

Cancellation refunds (for cancellations requested before midnight January 10th, 2024) are subject to a $25 withdrawal fee. If you withdraw before the CANCELLATION DEADLINE ABOVE, you will be issued a full of registration, event, and camp fees, less a $25 processing fee deduction. Purchases of apparel and donations to Family Support Hawai'i cannot be refunded. We will arrange to ship you your 2024 Hawaii Open shirt if you purchased one and cancelled after registration. There will be no refunds after the January 10th cancellation deadline except as noted below.

After January 10th, we will allow special refund accommodations (less the $25 withdrawal fee) under the following circumstances:

PRIOR TO CHECK-IN – 100% of registration fee and event fees (excludes service fees):

- Injury/Illness – doctor's note required

- Jury Duty – jury notice required

- Partner Drops Out and there is no available wait list player to replace them.

Under no circumstances will we be issuing refunds to players who:

- Withdraw from the event due to weather event date changes where the event plays by end of day January 28th.

- Players who forfeit their matches for any reason.

- Players who are disqualified from the tournament.

Weather Protection Insurance for $20 per player

This is an outdoor event on the big Island of Hawaii. Kona is known for its 300+ days of sunshine, and Holua is located in a small micro climate with even less rain than much of the surrounding Kona area. This is why Holua is such a fantastic place to play. That said, rain, wind, hurricanes, volcanic eruptions, etc. are a fact of life in Kona. We will make every reasonable effort to safely conduct the event on the dates listed, and we have budgeted a full weather make-up day for Sunday January 28th, 2024.

If you wish to protect yourself in the event of a weather related cancellation, we are offering Weather Event Cancellation Insurance for $20.00 during the registration process. The Weather Event Cancellation Insurance must be purchased by January 10th, 2024. This insurance will provide you with protection should your event be cancelled and we are unable to reschedule your event before the end of January 28, 2024. If you purchase this insurance protection, and your event is not run by January 28, 2024, you will be issued a full refund for any event fees for events or clinics cancelled, and registration fees if you ended up not being able to play any events. Purchases of apparel and donations to Family Support Hawai'i cannot be refunded. We will arrange to ship your 2024 Hawaii Open shirt if you purchased one and cancelled after registration.

Prize Money

The Prize Pool for the 2024 Hawaii Open is a total of $9,900 distributed as follows:

Open Pro - $5,400 Spread equally over the three Open Pro brackets (Open Mens, Open Womens, and Open Mixed). Each of these three brackets will payout as follows:

- First Place Team Shares $900

- Second Place Team Shares $600

- Third Place Team shares $300

Sr. Pro - $4,500 Spread equally over the three Open Pro brackets (Sr. Open Mens, Sr. Open Womens, and Sr. Open Mixed). Each of these three brackets will payout as follows:

- First Place Team Shares $750

- Second Place Team Shares $500

- Third Place Team shares $250

Plus all players will receive a full payment of ALOHA which is PRICELESS!

Parking Information

Parking Fee: Yes

Parking for the Holua Venue is very limited, and we are prioritizing on-site parking for volunteers, vendors, staff, and sponsors so the event runs on time. Street parking on Kaleiopapa is shared with the farmer's market on some days, and the businesses that operate out of the bay. We want to treat our neighbors with respect as well, so we are hoping not to overwhelm the street parking out on Kaleiopapa. We have not yet (as of 01/10/24) established a parking fee for guests / players / spectators for this event. Once we do, be assured that 100% of the parking fees will be donated to our charity of choice - Hawaii Family Services. We are encouraging people to: 1) Stay On Property at the Holua Resort, or Stay Next Door at the Outrigger (walking distance 10 minute stroll). Holua Resort is now sold out, but rooms are available at The Outrigger. 2) Uber or Taxi to the venue . This will be a much easier way to arrive and depart. 3)Arrange for you to be dropped off or picked up. 4) Ride your bike. The most Aloha way to arrive! 5) Car Pool. If you must drive, please be considerate and try to car-pool to the event. Please budget travel time accordingly so you arrive in plenty of time to check in and be ready for your bracket..

Weather

Inclement Weather Policy

This is an outdoor event. If weather or any other unforeseen circumstance occurs, we will do all we can to play matches. Our options include running events with fewer games or points per game, scheduling make-up play for later the same day (including into the evening hours), and utilizing Holua or other nearby courts to make-up matches on later days. We have built into our schedule a weather make-up day on Sunday 1/28 as a buffer for these scenarios.

If brackets are in mid play when a weather or unforeseen circumstance occurs the situation will be evaluated on a case by case basis to determine if the bracket may be finished or if winners may be determined.

Typical Kona Weather in January

The weather in January in Kona is glorious with high temperates in the low 80s, and on average only 2 days of rain each month. January is the coolest month of the year in Kona, with also the lowest humidity (normally averaging 28% in January). January averages around 72% of days with sunny or partly cloudy skies. This is why Holua Resort in Kailua Kona is one of the best places in the world to plan a pickleball vacation!

Health & Safety

Health, Safety Advisories, and Behavior Rules

Hawaii can be very sunny with a high amount of UV energy hitting players, courts, and equipment. Please protect yourself with sunscreen, keep to the shade while not playing (especially in the middle of the day), and wear sun protective clothing. Bring Reef-Safe sunscreen to help protect our local fish, reefs, and ocean habitats.

The weather combined with athletic endeavors mean you are risk for dehydration, and electrolyte depletion. Start your hydration regimen the day before you arrive to the courts, and continue your regimen non-stop while playing. Hydration breaks will be allowed during match play. If you feel light-headed, dizzy, exhausted, experience any sort of sudden rise in heart rate, or a sudden drop in heart rate, stop play immediately. We will have safety personnel onsite to assess your situation and help you seek medical attention if requested.

The Hawaii Open is run with the simple philosophy that we all should give Aloha in order to receive Aloha. That means treating everyone (players, staff, volunteers, referees, vendors, sponsors, spectators) with respect. We will not tolerate in any way confrontational behaviors, unwanted advances, harassment, vulgar language, or any other behavior we deem to be inconsistent with the Aloha spirit. We reserve the right to deny service to anyone, and remove from the Holua Resort premises anyone whose behavior threatens anyone else, or anyone who violates our expectations for Aloha Spirit and Sportsmanship.
